A historic New England municipality in Worcester County needed a modern Council Chamber AV upgrade to support today’s hybrid public meetings. While the existing hearing room technology had served the space for years, it no longer delivered the flexibility or performance town staff required.
Meeting participants faced challenges with outdated presentation technology, limited video conferencing capabilities, and inconsistent visibility throughout the chamber. In addition, the municipality wanted to improve communication for both in-room attendees and remote participants during public meetings and hearings.
Town leaders also prioritized simplicity. Staff needed reliable municipal AV systems that worked smoothly without complicated setup procedures or extensive training.
To meet those goals, the town partnered with Pro AV Systems to design and install a fully integrated AV solution tailored to the chamber’s daily operations.
Our Solution
The new Council Chamber AV upgrade focused on hybrid meeting technology, ease of use, and long-term reliability. First, the team replaced the aging projection system with dual Epson laser projectors and a new wide-format Da-Lite screen. This upgrade delivered brighter visuals and improved sightlines throughout the hearing room.
Next, the installation included eight desktop monitors at the front desks to improve content visibility for board members and presenters. The upgraded AV system also introduced flexible presentation options through HDMI connectivity, wireless sharing, and Zoom Room integration.
To support hybrid public meetings, the chamber received four AI-powered 4K cameras with Zoom Intelligent Director functionality. These advanced conferencing cameras automatically frame participants and create a more natural viewing experience for remote attendees. As a result, virtual participants can follow discussions more clearly during meetings and public hearings.
The audio visual upgrade also included major improvements to the room’s sound system. The design integrated a Shure ceiling array microphone and a new DSP platform while preserving the municipality’s existing desktop and wireless microphones. This approach improved speech clarity throughout the council chamber while maintaining familiarity for staff and officials.
Additionally, the team configured separate audio zones to improve voice lift performance and speech intelligibility for presenters, council members, and audience participants.
For system control, the room received intuitive Crestron touch panels that allow users to manage displays, camera presets, source selection, and audio settings from a single interface. Consequently, town staff can confidently operate the government meeting room technology without technical assistance.
Results
The completed Council Chamber AV upgrade transformed the hearing room into a modern collaboration space designed for hybrid public meetings and community engagement.
Town staff can now launch Zoom meetings quickly, share content wirelessly, and manage presentations with minimal setup time. Meanwhile, council members and attendees benefit from clearer audio, brighter visuals, and a more engaging meeting experience.
The upgraded municipal AV system also improves remote participation during hearings, board meetings, and public discussions. Because the AI-driven camera system automatically adjusts to active speakers, virtual attendees remain connected throughout each meeting.
